How to set up monitoring tasks

Customise Site › Tasks is the heart of a site's configuration. A task is a recurring piece of work — monthly temperature monitoring, quarterly showerhead descaling, an annual tank inspection — with a schedule, a responsible person, and a set of tests carried out on a set of assets.

Add a task

1. On the Tasks list click New.

   

2. Fill in the task definition:

   • Task Name, and optionally a PPM Name to base it on a standard PPM.
   • Responsibility — whose job this is (add a new title with the +). This drives KPI and nonconformity reporting.
   • Start Date / Finish Date — the period the task runs for.
   • Frequency and Interval — e.g. every 1 month, every 3 months.
   • Allowed days — tick the weekdays the task may fall on.
   • Days Before / Days After — how far either side of the due date the visit still counts as on time.
   • Missed Risk — the risk rating applied if the visit is missed.
   • Random Outlets — for tasks that sample a random subset of outlets each time.
   • Blocked Months — months the task must not be scheduled in.

3. Click Save.

Tests and assets on the task

1. Back on the Tasks list, open the task's Tests to choose which tests are recorded (temperatures, TMV checks, and so on) and their standard answers / limits.

2. Open the task's asset allocation to tick which assets the task is carried out on.
